Internal Medicine Advanced Clinical Rotation Director

Advanced Clinical Rotation (ACR) Directors at Washington University School of Medicine (WashU Medicine) are acknowledged experts in their respective fields of study. 

ACR Directors provide the overall professional, administrative, and educational leadership for a specific ACR within the school.  They create a short- and long-term vision for their designated ACR and provide the leadership necessary to achieve that vision.  In close collaboration with the Department of Medicine (DOM), Office of Medical Student Education (OMSE) and with the approval of the Committee on Oversight of Medical Student Education (COMSE, where appropriate), ACR Directors design, manage, and evaluate the ACR in accordance with the WashU Medicine policies and the medical education program objectives (MEPOs).

Specific duties for this role include:

Design
  • In collaboration with the Department of Medicine, Phase 3 Operations (P3Ops) Subcommittee as well as with approval of COMSE, determine the appropriate content, learning objectives (knowledge, skills, behaviors), learning methods, and assessment tools for the Internal Medicine ACR.
  • Consult with DOM, OMSE, and the Office of Education (OE) to ensure adoption of best practices in all areas of ACR design, delivery, and assessment.
  • Ensure robust vertical and horizontal curricular integration throughout all phases of the curriculum via collaboration with other curricular leaders, DOM Chair and Vice Chair for Education (VCE), under the oversight of OMSE leadership, and P3Ops Subcommittee, and with the approval of the COMSE where necessary.
Implementation

Teaching Faculty/Instructors (this includes faculty, residents, preceptors, house staff, physician assistants, and advanced practice nurses)

  • Recruit appropriate teaching faculty for delivery and facilitation of educational experiences (in collaboration with Thread Leaders when applicable).
  • In collaboration with the OMSE administrative staff, ensure all teaching faculty are included in the system of record, allowing for evaluation of teaching and accurate accounting in annual teaching effort reports provided to home departments.
  • Assign teaching responsibilities for teaching faculty, and act as a liaison between the teaching faculty and the OMSE administrative staff, ensuring all necessary teaching materials (including objectives, resources, and assessments) are submitted in a timely manner and meet agreed-upon requirements.
  • Use the OMSE resources to ensure goals, objectives, outcome measures, guidelines, and policies are communicated to all teaching faculty.
  • Ensure all individuals participating in a teaching activity are familiar with the plans for ACR activities and understand where the activity fits within the broader curriculum.
  • In close collaboration with the OMSE and DOM, evaluate teaching faculty and systematically review, provide timely feedback, and share student evaluation data with individual teaching faculty and the department chair and VCE.
  • Identify teaching faculty requiring faculty development and work closely with that individual to encourage ongoing quality improvement (including improvements in content, refinement of learning objectives, and development of improved assessment instruments).  When necessary, arrange for additional development opportunities offered through the OMSE and/or the VCE.
  • Ensure that any faculty with supervising and evaluation responsibility have a faculty appointment at WashU Medicine.
Students
  • Ensure students are aware of and understand the course objectives and their relationship to the MEPOs, instructional methods, assessment methods, and all guidelines and policies relevant to the Internal Medicine ACR.
  • Maintain regular communication with the Medical Education Representative (MER) and Course Liaison(s) (if assigned) and respond promptly to their correspondence.
  • Within the context of WashU Medicine/OMSE policies and guidelines, set clear expectations for student performance.
  • Work with the Assistant Dean of Assessment and coaches to ensure early identification of students with academic or personal difficulty and refer identified students to the Office of Medical Student Affairs (OMSA) or Student Success Team (SST) for development and implementation of appropriate support plans.
  • When necessary and in collaboration with the SST, facilitate appropriate remediation plans.
Assessments
  • Ensure alignment between MEPOs, Internal Medicine ACR-level and, session/topic-level objectives and assessment items.
  • Ensure all students receive formative feedback by at least the mid-point of the Internal Medicine ACR.
  • Implement and oversee the Internal Medicine ACR assessment program.
  • Per WashU Medicine/OMSE policies and guidelines, return all assessment results to students in a timely manner, to support student learning and ongoing development.
  • Contribute to writing the Structured Evaluative Letter (SEL) for students who apply to internal medicine residency.
General Administration
  • Ensure adherence to all guidelines and policies as developed by curriculum governance committees and WashU Medicine and DOM leadership.
  • Ensure a professional learning climate for both teaching faculty and students.
  • Schedule and coordinate any structured learning activities for the ACR (both on-site and at extramural sites).
  • Oversee teaching activities for the Internal Medicine ACR to provide continuity in the curricular element administration and to monitor quality and consistency.
  • In close collaboration with the OMSE administrative staff, ensure syllabi, schedules, small group rosters (if applicable), and other content are current, of high-quality, posted in a timely manner, and reflect the educational objectives and desired content being delivered.
  • Actively participate in the development and maintenance of a curriculum map that includes goals, learning objectives, content, educational strategies, and assessments.
  • Actively participate in DOM student advising, DOM monthly UME education meetings, and communicate regularly with DOM education leadership.
Structured Evaluative Letter (SEL)
  • Collect and summarize accurate, robust assessment data from the Internal Medicine clerkship, ACR, Primary Care ACR, MICU ACR, and electives.
  • Coordinate with DOM and the Career Counseling Office to ensure letters’ accuracy and alignment.
  • Write and review SELs in collaboration with DOM leadership.
Continuous Improvement and Innovation
  • Assume primary responsibility for developing and maintaining a vision for the short- and long-term development and implementation of the Internal Medicine ACR.
  • Track, monitor, assess, and identify areas for improvement in the curriculum with the goal of continuous quality improvement, or as dictated by the curriculum oversight bodies, and develop an improvement plan when necessary.
  • Communicate improvement plans to the OMSE, teaching faculty, and students in a timely manner.
  • In collaboration with the OMSE and the PE/CQI Unit, evaluate the current curriculum in achieving learning outcomes.
  • Modify existing or develop new curricula and methods of delivery based on needs, changing Liaison Committee on Medical Education (LCME) standards/elements, and as charged by curriculum oversight bodies.
  • In collaboration with OMSE and the PE/CQI Unit, provide narrative data for the compilation of ACR reports or other program evaluation reports and present data to the appropriate curriculum committees.
  • Verify annual data collated by the OMSE, including descriptive information and reports of ACR content, instructional methods, assessments, and outcomes.
  • SELs: Make continuous improvements to these letters by meeting with key stakeholders, including DOM leadership, to review feedback and implementing any changes to AAIM format.
Leadership and Service
  • Demonstrate and cultivate educational leadership in the Internal Medicine ACR and broader educational community.
  • Attend scheduled DOM and OMSE meetings and retreats.
  • As requested by the OE/OMSE/DOM leadership, assume leadership roles in WashU Medicine educational endeavors or serve as a leader in additional education committees or workgroups.
  • Remain informed of trends and practices in medical education, pedagogy, technology, and administration.
  • Participate in IM student advising leadership group for Phase 3 planning and residency application.  This includes faculty development, maintaining a strong knowledge of ERAS application process, and student advising.
